By paying a deposit, accepting an offer or signing a hunting contract, you confirm you have read and accepted these terms.
- Definitions
Agency means Artemis Safari Ltd, operating under the brand Artemis Hunting.
Client means the hunter or any person booking or joining the trip.
Non-hunting companion means a person travelling with the hunter who does not hunt.
Service provider means any hunting ground, outfitter, guide, hotel, lodge, transport company, airline, insurer, taxidermist, shipping company or other third party involved in your trip.
Offer means the written quotation, itinerary, brochure, writing, invoice or booking confirmation we send you.
- Our Role
Artemis Hunting organises hunting trips and also works as an intermediary between you and local outfitters. The hunt takes place under the laws and rules of the destination country and is carried out by local outfitters, hunting grounds and licensed guides. We coordinate the services listed in your offer, such as hunting, guiding, accommodation, transfers, permits and communication with local partners.
- Booking and Contract
Your booking is confirmed when you pay the deposit. Please clarify every unclear detail before you confirm.
- Offers and What Is Included
Every trip is built individually. Your offer states what is included and what is not. Unless the offer says otherwise, the following are charged separately:
- international flights
- extra transfers outside the agreed route
- alcoholic drinks
- tips and gratuities
- additional animals outside the agreed package
- trophy salting, bleaching, taxidermy and shipping
- export and import of trophies and firearms
- travel, medical and liability insurance
- taxes and local charges not listed in the offer
- extra nights and companion activities
Prices for additional animals and trophy fees are available on request.
- Payment
Deposit: the deposit is usually 50 percent of the trip price, unless your invoice states otherwise. You pay it within 7 days of your confirmation to secure your place. Payment is by bank transfer. We send the bank details with your invoice.
Final payment: you pay the remaining balance in one of two ways. You pay in cash at the end of the hunt, or you receive an invoice with a payment deadline and pay by bank transfer within that deadline.
For the following species the final payment is made by bank transfer before you start your journey: mid-asian ibex, alpine ibex, bezoar ibex, sayan ibex, brown bear, maral, tur and marco polo sheep.
If you miss a payment deadline, we reserve the right to suspend preparations, cancel the booking or release your dates. Bank charges and currency conversion fees are paid by the client.
- Cancellation Policy
Standard species (all species except those listed below)
If you cancel within 90 days of the agreed hunting date, we retain the deposit. Instead of losing the deposit, you have two options:
- reschedule the hunt to the following year, subject to price adjustments where applicable
- find another hunter to take your place on the reserved date
Special species: mid-asian ibex, alpine ibex, bezoar ibex, sayan ibex, brown bear, maral, tur and marco polo sheep
In all cases of cancellation, the deposit is non-refundable. The hunt counts as started from the moment the hunting tag is issued and registered in your name. This happens when we receive your deposit.
We work with every client to give you the best possible chance at your trophy. If you stay for the full duration of the hunt and get no opportunity at a representative animal, the following applies:
- Ibex (mid-asian, alpine, bezoar and sayan): you receive a refund of 2,000 USD, provided you stay for the full duration of the hunt and get no opportunity at a representative ibex at the average shooting distances of these hunts. We tell you these distances before the hunt.
- Tur: you receive a refund of 2,500 EUR, provided you stay for the full duration of the hunt and get no opportunity at a representative tur at the average shooting distances of these hunts. We tell you these distances before the hunt.
- Marco Polo sheep, brown bear and maral: you may return within the same hunting season at a significantly reduced cost, provided you stay for the full duration of the hunt and get no opportunity at a representative animal at the average shooting distances of these hunts. We tell you these distances before the hunt.
Instead of a refund, you also have the option to apply the value of the hunt as credit toward a future hunt with Artemis Hunting. The credit is valid for 3 years from the date of the original hunt. If the price of the future hunt is higher due to price increase, inflation etc. than the price of the original hunt, you pay the difference.
An opportunity means a representative animal, legal and of acceptable trophy quality, is presented within average shooting range for that particular hunt, which you will know beforehand. The hunt counts as complete, whatever the result of the shot and even if you decide to pass on the animal. No refund, credit or return applies in that case. The hunt is non-refundable under all other circumstances.
Our obligation is to create hunting opportunities through professional guiding and field expertise. You are expected to arrive in adequate physical condition and prepared to take those opportunities when they come.
- Wounding Policy
A wounded animal is charged as harvested.
- Changes and Cancellation by Us
We change or cancel a trip if it becomes impossible, unsafe or unlawful because of circumstances outside our control. Examples are hunting bans, wildfires, quota changes, disease outbreaks, extreme weather, border restrictions, political unrest, flight disruption or loss of access to a hunting ground. We offer an alternative date, area or species where possible.
- Price Changes
If costs outside our control rise after your offer, for example transport, taxes, government fees or exchange rates, we adjust the price. We tell you as soon as reasonably possible.
- Hunting Success
Hunting takes place in natural conditions. We do not guarantee success, number of animals seen, shooting opportunities, trophy size, weight or score (CIC, SCI or other) unless the offer says so in writing. Weather, wind, moon phase, terrain, season, animal behaviour and the hunter’s own conduct all influence the result.
- Client Duties and Conduct
You agree to:
- follow every instruction from the guide and hunting-ground staff
- shoot only legal game confirmed by the guide
- shoot only when the situation is safe and clear
- carry valid personal documents, hunting documents and insurance
- respect the laws of the destination country
- tell us in advance about health issues, mobility limits, allergies and special needs
The guide stops the hunt immediately if you act unsafely, break hunting laws, drink alcohol before or during the hunt, ignore instructions, shoot protected game or hunt outside the permitted area. In this case you receive no refund and you pay for all damage, penalties and trophy fees you cause. You are responsible for your behaviour and for every shot you fire.
- Documents, Licences and Permits
You must hold all documents the destination country and hunting ground require. Requirements differ per country and species. We tell you what you need and help with the formalities, but you stay responsible for having them in order.
- Weapons and Ammunition
You follow all laws on transport, import, export and use of firearms and ammunition. Where possible we recommend a local rifle, because it avoids airport and border complications. If you bring your own rifle, tell us as early as possible so we prepare the invitation letter and paperwork. We assist with formalities but do not guarantee approval by customs, police, airlines or authorities. Loss, delay or damage of baggage, weapons or ammunition is no ground for cancellation, refund or price reduction.
- Insurance
We strongly recommend you buy travel insurance, hunting-related insurance and liability insurance before you leave. Check your policy covers hunting, firearms and the destination country. We are not responsible for costs appropriate insurance would have covered.
- Health and Fitness
Tell us before booking about any health condition, injury, mobility limit, allergy or dietary need affecting the trip. This lets us pick the right hunting method, guide and daily pace. If you do not disclose relevant information, we are not responsible when the programme proves unsuitable.
- Non-Hunting Companions
Companions are welcome where the programme allows it. Companion activities are charged separately unless the offer includes them. Tell us early so we arrange transport, tickets and reservations in time.
- Accommodation, Food and Drinks
Accommodation and meals follow the offer. Alcoholic drinks are not included unless agreed in advance. Tell us about food allergies and dietary needs before you travel.
- Trophies and Trophy Shipping
You follow all trophy evaluation, veterinary and export or import rules of the destination country and your country of residence. We do not guarantee a trophy is accepted for import into your country.
Artemis Hunting is not responsible for the shipping of trophies. Shipping is handled by an independent third-party company. The company depends on the destination country of your trophies. It collects the trophies from us or from the place where they are stored, and delivers them to you or to your taxidermist. The shipping company is responsible for the transport and its own terms and costs apply. We are not liable for delays, damage, loss, customs decisions, veterinary decisions or import restrictions during or after shipping.
19. Complaints
Report any problem to your guide or to us immediately, so we fix it on site. If it stays unsolved, ask for a written note signed by the outfitter, guide or an independent witness. Send complaints to us in writing within 30 days after the scheduled end of the trip. We do not accept claims for unused services caused by your personal reasons, late arrival, early departure, missing documents, refusal to take part or breach of the rules.
20. Liability
We are not responsible for damage, loss, delay, accident, injury, illness, missed flights, baggage loss, border decisions, weather, animal behaviour, force majeure or failures of third parties, unless we caused it through proven gross negligence or intentional misconduct. We are not responsible for the quality of services provided by third parties unless the offer says otherwise. Where our liability is established, compensation covers direct and proven damage only and, as far as the law allows, does not exceed the amount you paid to us for that trip. This excludes trophy fees, permits, licences and amounts paid directly to other providers.
21. Force Majeure
We are not liable for failure or delay caused by events outside our control. Examples are natural disasters, extreme weather, epidemics, wildfires, game disease outbreaks, war, terrorism, strikes, border closures, flight cancellations, government restrictions, hunting bans and sudden legal changes.
22. Termination by Us
We terminate the contract if you fail to pay, fail to provide required documents, break safety rules or hunting laws, or endanger people, property or the trip. You then reimburse all related costs and receive no refund for services we could not provide because of your conduct.
23. Data and Communication
You agree we collect and process the personal data needed for booking, travel, permits, accommodation, insurance, firearm arrangements and trophy documents, and share it with the service providers involved. Please provide accurate and complete information. Our privacy policy at https://artemis-hunting.com/privacy-policy/ gives further detail.
24. Photography and Marketing
We use photos and videos from your trip on our website, on social media and in other marketing material. If you do not want your face to be public, tell us before the trip and we blur your face.
25. Governing Law and Jurisdiction
These terms are governed by the laws of England and Wales. We first try to solve every dispute amicably. If that fails, the courts of England and Wales have jurisdiction, unless mandatory law says otherwise.
26. Final Provisions
If one provision is invalid, the others stay valid. We update these terms from time to time. The version valid on the day of your booking confirmation applies to you.
